Fleet Management

The StateFleet Fleet Management service provides professional fleet management services at cost effective rates. Services provided include arranging vehicle purchasing, leasing, fuel, CTP insurance, registration, NRMA membership, servicing, repairs and vehicle disposal. Under the Fleet Management service, users can be assisted with Fringe Benefit Tax (FBT) calculations and extensive fleet management reporting.

Registration

Under the Fleet Management service, StateFleet arranges for vehicles to be delivered with current registration, renews registrations by the due date (ie. the common expiry date) and forwards registration labels and certificates to the address nominated by the client.
 
For client owned vehicles, all registration expenses are on-costed to the client under the Fleet Management service. For lease option vehicles, see Registration in All Inclusive Lease, Serviced Lease, or Standard Lease.

Compulsory Third Party Insurance

StateFleet arranges and pays for annual CTP insurance with the Treasury nominated insurer, then on-costs the expenses to the client. CTP insurance is renewed in conjunction with vehicle registrations.

Comprehensive Insurance

The Fleet Management service does not cover the arrangement or payment of comprehensive insurance. All matters relating to comprehensive insurance must be arranged and managed by the client.

NRMA Membership

NRMA membership is not automatically included in the Fleet Management service. If required, StateFleet can arrange either the standard NRMA membership or the NRMA fee for service option. This arrangement would exclude vehicles covered by the manufacturer's roadside assistance policy.
 
All NRMA membership fee expenses are on-costed to the client.

Fuel Management

StateFleet arranges for the contracted suppliers to provide fuel, manages the fuel accounts and arranges for the supply of fuel cards. StateFleet forwards the fuel cards to the address(es) nominated by the client.
 
The cost of fuel is not included in the Fleet Management Service. StateFleet arranges payment then on-costs all expenses to the client.

Servicing and Repairs

StateFleet manages the servicing, repair and maintenance of vehicles under the Fleet Management Service.
 
The cost of vehicle servicing, repairs and maintenance is not included in the Fleet Management Service. StateFleet authorises and pays for the work then on-costs the expenses to the client.
 
All servicing, repairs and maintenance is completed according to the manufacturer's recommendations. StateFleet authorises and monitors the standard scheduled maintenance using StateFleet's network of repair centres.

Vehicle Usage Reporting

Clients must ensure that running sheets are maintained for each vehicle according to Government policy.
 
Access to StateFleet Online (reporting) is provided under the Fleet Management Service. StateFleet Online offers an extensive list of fleet management reports and is available to clients via StateFleet's internet web site.

Fringe Benefit Tax Calculations

Under the Fleet Management Service, clients can be assisted with StateFleet's Fringe Benefits Tax (FBT) calculation and reporting services.
 
Clients are required to submit private usage details to StateFleet via easy.Log on StateFleet's internet web site. StateFleet records, calculates and reports vehicle usage details in accordance with the FBT requirements of the Australian Taxation Office (ATO).
 
Following the end of March each year, StateFleet provides a comparative report using both the Statutory and Operating Cost Methods to calculate the FBT liability for each vehicle.
 
The client is responsible for the accuracy of the private usage details supplied to StateFleet.

Vehicle Disposal

Under the Fleet Management Service, StateFleet does not automatically arrange the pick-up of vehicles which have reached the end of their lease term. The client is responsible for delivering the vehicle to a site nominated by StateFleet for disposal. If requested, StateFleet can arrange the pick-up and transportation of the vehicle to the disposal site, and on-cost the expenses to the client.
 
If required by the client, StateFleet will arrange the Safety Inspection Report (pink slip). The client is responsible for the cost of obtaining the report.
